This privacy statement explains how Nedform B.V. handles personal data collected through nedform.com and in the course of our business relationships. Nedform B.V. is a business-to-business supplier; we do not sell products to consumers via this website.

1. Who is responsible

Nedform B.V., Koperslager 4, 6422 PR Heerlen, the Netherlands (Chamber of Commerce 14085324) is the controller within the meaning of the General Data Protection Regulation (GDPR). Questions about privacy: info@nedform.com or +31 (0)85 485 83 10.

2. Which data we process

• Contact and enquiry data: name, company, job title, email address, phone number, country and the content of your message, including any documents you send us (for example safety data sheets or specifications).
• Business relationship data: details needed for quotations, orders, deliveries and invoicing, such as delivery and invoice addresses and the VAT and EORI numbers of your company.
• Newsletter data: your email address and whether you opened or clicked our emails.
• Website usage data: IP address, browser and device information, pages visited and the time of your visit, collected through cookies and similar techniques.

3. Purposes and legal bases

• Answering enquiries and preparing quotations – steps prior to entering into a contract and our legitimate interest in responding to business enquiries (Art. 6(1)(b) and (f) GDPR).
• Performing agreements (orders, delivery, invoicing, complaints) – performance of a contract (Art. 6(1)(b)).
• Complying with legal obligations, such as tax retention obligations and chemical-product regulations (REACH, CLP) – legal obligation (Art. 6(1)(c)).
• Sending our newsletter – your consent (Art. 6(1)(a)). You can unsubscribe at any time via the link in every email.
• Website analytics, marketing and recognising visiting companies – your consent via our cookie settings where required, otherwise our legitimate interest in improving our website and reaching business customers (Art. 6(1)(a) and (f)).

4. Cookies and third-party services

Our website runs on Shopify. Depending on your cookie choices, we use services from the following providers: Shopify (hosting and website functionality), Google (Google Tag Manager and related analytics), Meta (Meta Pixel for measuring and optimising advertising), Leadinfo (recognising which companies visit our website, based on the IP address of the company network), Sleak (chat function) and Trusted Shops/eTrusted (review widget). You can change your choices at any time via the cookie settings on our website and via Your Privacy Choices.

5. Who receives your data

We only share personal data where necessary: with the service providers mentioned above, carriers and forwarders for deliveries, our accountant and IT suppliers, and authorities where we are legally required to do so. Service providers act on our instructions under a data processing agreement where applicable. We do not sell personal data.

6. Transfers outside the EEA

Some providers (for example Shopify, Google and Meta) may process data outside the European Economic Area. In that case we rely on an adequacy decision (such as the EU–US Data Privacy Framework) or on the European Commission’s Standard Contractual Clauses.

7. Retention periods

• Enquiries that do not lead to an agreement: up to 2 years after the last contact.
• Order, invoice and administrative data: 7 years, in line with the Dutch statutory tax retention obligation.
• Newsletter data: until you unsubscribe.
• Cookie data: in accordance with the retention periods shown in the cookie settings.

8. Security

We take appropriate technical and organisational measures to protect personal data against loss and unauthorised access. Please do not send sensitive information through unsecured channels.

9. Your rights

You have the right to access, rectify and erase your personal data, to restrict or object to processing, and to data portability. Where processing is based on consent, you may withdraw your consent at any time without affecting the lawfulness of processing before withdrawal. Send your request to info@nedform.com. We respond within one month.

10. Complaints

If you have a complaint about how we handle your data, please contact us first. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or the supervisory authority in your country.
